In many hospitals, appointments are still booked over the phone and followed up by hand. Front-desk staff juggle calls, registers and reminder messages, while patients wait on hold or forget their slots. We set out to make that flow simpler for a hospital and for the patients it serves.
The challenge
A hospital front desk handles a steady stream of routine work: booking appointments, rescheduling, and reminding patients to show up. Done manually, this takes time that staff could spend with patients who need them. The goal was a simpler way to book appointments and keep patients informed, without asking staff or patients to learn something new.
What we built
Teqid built an appointment booking app with three connected parts.
Appointment booking. One place to book and manage appointments, so the schedule is clear for staff and simple for patients.
WhatsApp reminders. Patients get reminders on WhatsApp, the app they already use every day. There is nothing new to install, and the reminder flow is easy for staff to run.
AI voice workflow. An AI voice workflow supports the booking and reminder process, so routine calls do not all land on the front desk. Anything that needs a person can still be handled by staff.
How it works day to day
A patient books an appointment and it appears on the hospital's schedule. A WhatsApp reminder goes out ahead of the visit, and the AI voice workflow helps with routine follow-up. Staff step in whenever a patient needs a person.
Why this approach
Three ideas shaped the design. Meet patients on the channels they already use. Automate the repetitive follow-up. Keep a human in the loop for anything that matters. That keeps the experience simple for patients and keeps the hospital team in control.
